Payment, Refund & Cancellation

A non-refundable down payment equivalent to 60% of the package rate shall be paid to confirm a booking, and the balance (the remaining 40%) shall be paid no later than 24 hours prior to the booking date. Should any additional costs arise during the event, the Client shall settle such costs on the day of the event or within 7 days thereafter.

No refund shall be issued in the event that the number of cups served or consumed during the event is fewer than the number of cups provided for under the agreed package.

Cancellations must be submitted no later than 48 hours prior to the event date; failure to do so shall render full payment of the package due and payable. Pilotos Grounds acknowledges the continued presence of the COVID-19 pandemic, and accordingly, should an unforeseen outbreak occur, the Client may rebook to an alternate date upon presentation of proof of a positive test result.

In the event that Pilotos Grounds is unable to provide its services due to Force Majeure (circumstances beyond its reasonable control, including but not limited to flooding, fire, vehicular accidents, or adverse weather conditions), a full refund of the booking fee shall be issued.

Location Requirements

Where applicable, a copy of a Special Event Permit must be obtained by Pilotos Grounds no later than seven (7) days prior to the event. The Client shall be responsible for ensuring that the event location satisfies the following requirements:

• Complimentary and accessible parking for at least one (1) vehicle. Vehicle plate numbers shall be declared at least 48 hours prior to the event; should suitable parking not be available and the team be compelled to park in an unauthorized manner, the Client shall be responsible for any resulting fines.
• Lift access (ramps, elevators, or similar means) for the cart, as equipment is transported by way of the mobile cart itself.
• An electricity supply of at least 1,500W in proximity to the cart location for the espresso machine. Pilotos Grounds shall provide a 6-meter extension cord; should the power supply be located farther than this distance, the Client must disclose this at least 24 hours in advance so that additional equipment may be arranged. A generator or additional extension cords, where required, shall incur additional charges.
• Shade in the event of unfavorable weather. Pilotos Grounds reserves the right, acting in good faith, to suspend operations where weather conditions pose a danger to personnel, equipment, or guests; compensation shall not be affected should operations be suspended for this reason.

Pilotos Grounds reserves the right to cancel a booking should the location fail to satisfy the foregoing requirements, in which case the cancellation and refund policy set forth above shall apply.

Staff Meals / Welfare

The Client agrees to provide reasonable meals for all Pilotos Grounds staff assigned to the event. Where meals cannot be provided in kind, the Client agrees to provide a meal allowance of ₱250.00 per staff member, to be settled together with the final payment or during the event. Meals shall be of reasonable quality and served at an appropriate time so as to allow short breaks without disrupting operations.

Failure to provide meals or the agreed allowance may result in additional charges and/or a reduction in staff rotation, which may affect service efficiency.

Loss & Damages

The Client acknowledges responsibility for any damage or loss to Pilotos Grounds equipment arising from:

1. Any misuse of the equipment by the Client or by guests.
2. Any theft or disaster, including but not limited to fire.
3. Any loss of power (whether by short circuit or otherwise) or power surge resulting in damage to equipment.

Liability

The Client acknowledges that the effects of caffeine include, but are not limited to, increased breathing rate, anxiety, elevated blood pressure, and rapid heart rate. Pilotos Grounds shall not accept responsibility for any damage or injury to guests arising from the products served.

By booking with Pilotos Grounds, the Client acknowledges having read and understood the foregoing Terms and Conditions and agrees to be bound by them.
